In the campaign software, there are many tables, but two primary dollar
tables...CAMPAIGN_TOTALS and PR_JOURNAL. Most of the reports use data
in one or the other of these tables when you run reports or do queries.
When givers are put into the batch, a ROW is created for them in
PR_JOURNAL, then when the batch is posted, a ROW is created for them in
CAMPAIGN_TOTALS for that year, date, amount, etc...
When you put a new giver into the system, they have NO ROWS in either of
these two tables. Or if an account has not been giving actively for a
few years, they may not have rows for those years within those
tables...the system does not auto create a ZERO row in those tables, it
just doesn't create anything there.
Hence why you can't get those givers in query. There's nothing in the
table(s) for those who had no activity in 2004.
You can change this by using the Campaign Adjuster to create a ZERO
dollar row for 2004 for those who didn't have activity. Then you'll be
able to pull them for queries. This will however, make them show on
certain canned reports with zero giving (most of the reports have a
filter for zero giving, so this shouldn't be an issue - I just want you
to be aware of it).
If you choose to do this, then use Campaign Adjuster in this way:
1. From the main campaign desktop, use the UPPER MENU bar,
PLEDGES/RECEIPTS, CAMPAIGN ADJUSTER.
2. When the Adjuster is open, use only steps 1-3
3. Step 1 - choose CORPORATE
4. Step 2 - set campaign year to 2004, campaign type to what's
appropriate, you can leave division and yellow fields blank.
5. Step 3 - press button to load givers into the white grid.
6. Once you see giver names appear, go back to step 1 and repeat for
INDIVIDUALS and/or EMPLOYEES.
When the names appear in the grid - this means that CSI has created a
zero row for all those who have nothing in that year...you don't need to
do anything more.
